How do I leave notes on a candidate?

Notes live in the Notes section of the evaluation panel on the candidate profile. Create, edit, delete, or reply to notes. Admins can edit other users' notes. Notes are separate from star ratings and recommendations.

Notes live in the Notes section of the evaluation panel on the right side of every candidate profile. Click Add note, type what you want to share, and post. Everyone on the team with access to the position sees it. You can edit or delete your own notes, reply to someone else's, and Admins can edit or remove any user's note. Notes are separate from star ratings and recommendations. They're for context, questions, and observations, not a second evaluation channel.


How to leave a note

To leave a note, open the candidate profile and use the Notes section of the evaluation panel.


  1. Open the candidate's profile (from the candidate list or Magic Review → Full Profile).

  2. On the right side, scroll to the Notes section of the evaluation panel.

  3. Click Add note.

  4. Type your note. Keep it short. A sentence or two tends to be more useful than a paragraph.

  5. Click Post.


The note appears in the section with your name, timestamp, and the text. Every teammate with access to the position sees it immediately.


Editing, deleting, and replying

Notes are designed to be a conversation, not a final submission.


  • Edit your own note. Click the three-dot menu on the note and choose Edit. Your name and timestamp update to show it was edited.

  • Delete your own note. Click the three-dot menu and choose Delete. Deletion is permanent.

  • Reply to a note. Click Reply under any note to start a threaded response. Replies keep long back-and-forth from cluttering the main notes list.

  • Admin edits. Account Admins can edit or delete notes by any user on any candidate. Useful for cleaning up stale notes or removing anything posted in error.


Notes vs. ratings and recommendations

Notes, star ratings, and recommendations all live in the same evaluation panel but serve different purposes. Don't duplicate.


  • Notes. Free-form text for context. "Spoke to this candidate at the career fair last week; impressed in person.""Has a visa question — might need legal review if we move forward."

  • Star rating (Your Evaluation). A 1–5 score reflecting your personal take. Individual to you; teammates can't overwrite yours. See How do I submit reviews and use scorecards?.

  • Recommendation. A structured pick: Move forward, Unsure, Decline. Drives the team roll-up.

  • Scorecard criteria. Numeric ratings against the position's scorecard. See How do I set up a scorecard for a position?.


Use notes for anything that doesn't fit neatly into a rating. Context, flags, things to ask in a follow-up, links to a portfolio or resume the candidate shared outside the app.


Who can see notes

Notes are internal to your team. Candidates never see them. External stakeholders viewing a shared candidate link don't see them either. Notes are hidden from the share view.


Who on your team sees notes depends on their position access: teammates with any level of access to the position (Reviewer, Member, Admin, Owner) see every note. Viewers on the position see notes too, but can't post.
