For Owners and Admins adding teammates to their Truffle account.
To invite a teammate, go to Company Settings → Team Management → Invite teammates, enter their email, pick an organization role, and send the invite. They'll get an email with a link to accept and set up their account. Only Owners and Admins can invite new teammates.
How to send an invite
To send an invite, open Company Settings and use the Invite teammates form on the Team Management tab.
In the sidebar, click Company Settings.
Open the Team Management tab.
In the Invite teammates section, enter the teammate's work email.
Pick an organization role. Owner, Admin, Member, or Viewer. See What can each role in Truffle do? for what each role can access.
Click Send invite.
The teammate gets an email with a link to accept. The link opens a sign-up page where they set a password (or sign in with Google, or request a one-time code). Once they sign up, they appear in your team list with the role you picked.
Changing roles or removing teammates
After someone has accepted an invite, you can change their role or remove them from the team list.
Change role. Click the role dropdown next to their name and pick a new role. Takes effect immediately.
Remove teammate. Click the three-dot menu next to their name and select Remove. They lose access to your account immediately. Their past reviews, notes, and actions stay in place but are attributed to a removed user.
Job-level access
Organization roles control overall access. For fine-grained per-position access. For example, giving one person reviewer access to just one role. Use job-level roles or teams.
Job-level roles are assigned when you add a collaborator to a specific position.
Teams let you group people and assign the whole team to positions. See How do I create and manage teams?.
Troubleshooting: teammate can't accept the invite
A few things can block a teammate from completing the invite acceptance flow. Work through them in order:
They didn't get the email. First check the Team Management page. If the invite shows as pending, it was sent. Ask them to check spam/junk and search for "Truffle". If it's not there, the most common cause is a corporate email filter quarantining it. Ask IT to allow-list @hiretruffle.com.
Clicking the link does nothing / shows "link expired." Invite links are valid for 7 days. If it's been longer, remove the pending invite from Team Management and re-send. That generates a fresh link.
"Reset" or "Set password" button doesn't work. Usually a browser extension (ad-blocker, privacy blocker) blocks the Stripe/auth script. Ask the teammate to try an incognito window or a different browser.
They already have a Truffle account under a different email. Truffle treats each email as a separate identity. If the teammate has signed up in the past (for example, as a candidate on another company's interview), they need to accept your invite at the same email you invited. Or you need to re-invite them at the email they actually use.
The link opens but says "Access denied." They're signed into a different Truffle account in the browser. Sign out first, then click the invite link again.
None of the above works. Email [email protected] with the teammate's email, your company name, and the exact error. Support can rescue the invite or provision the account manually.
