How do I invite candidates in bulk from a spreadsheet?

Paste names and emails from a spreadsheet into the invite modal, up to 50 per send and 250 total on paid plans. Accepts CSV, tab, and space.

To invite many candidates quickly, copy them from any spreadsheet and paste into the Paste from spreadsheet field on the invite modal. Each Send invites accepts up to 50 candidates, and a position accepts up to 250 invites total on paid plans (5 during the free trial). Truffle accepts comma-separated (CSV), tab-separated (the format you get when you copy directly from Excel or Google Sheets), and space-separated formats.

How to paste a list of candidates

The quickest way to get a list into Truffle is to copy columns from a spreadsheet and paste them in.

  1. Open the position and click + Invite Candidates.

  2. On the Direct invite tab, click Paste from spreadsheet.

  3. In your spreadsheet, select two columns. First column is email, second column is name (or the other way around; Truffle detects the format). Copy them.

  4. Paste into the text field in the invite modal.

  5. Truffle parses each row into a candidate. Review the preview.

  6. Click Send invites.

Each candidate receives an individual email with their own personalized interview link, exactly as if you'd invited them one at a time.

Supported formats

Truffle accepts three paste formats and auto-detects which one you're using.

  • Tab-separated. What you get when you copy directly from Excel, Google Sheets, or Numbers. Easiest path.

  • Comma-separated (CSV). [email protected], Jane Smith per line.

  • Space-separated. [email protected] Jane Smith per line. Only works if names don't contain spaces; otherwise use one of the above.

You can paste a single column of emails with no names, too. Truffle will send invites without a name personalization in the greeting.

Limits

Bulk invite has two caps so Truffle can send emails reliably.

  • 50 per send. Each time you click Send invites, Truffle accepts up to 50 candidates. If you've pasted more than 50, send them in batches of 50 (paste, send, then paste the next batch). A single send of more than 50 is rejected.

  • 250 total per position on paid plans (not per day). The free trial allows 5.

If you hit the total cap, more candidates can still apply via your Application link. That route isn't limited.
