How do I close or archive a position?

Close a position to stop accepting new candidates but keep the data accessible. Archive it to also hide it from your default Positions view. Both are reversible.

Closing a position stops it from accepting new candidates; all the candidate data stays accessible in your dashboard. Archiving goes a step further. It hides the position from your default Positions list too. Both are reversible. Close when you've hired someone or paused the role; archive once it's been closed for a while and you want your Positions list cleaner.


How to close a position

To close a position, open the position's Settings tab and click Close position. The share link stops accepting new candidates immediately.


  1. Open the position from the Positions list.

  2. Click the Settings tab.

  3. Click Close position.

  4. Pick a close reason. Position filled, Position no longer needed, Role changed significantly, or Other. Reason is for your records; candidates don't see it.

  5. Optionally check Archive on close to do both actions in one step.

  6. Confirm.


After closing:


  • The public share link returns a "This position is no longer accepting applications" message to anyone who visits.

  • All candidate data stays in the dashboard. You can still review candidates, change statuses, leave notes, and make decisions.

  • You can reopen the position any time (see below).


How to archive a closed position

Archiving hides a closed position from your default Positions list. Useful if your list is getting cluttered.


  1. From the Positions list, open the Archived filter off to check closed positions aren't already archived.

  2. Click the three-dot menu on a closed position's row.

  3. Select Archive.


After archiving:


  • The position no longer appears in your default Positions view. It's excluded from counts on the Positions page.

  • The Archived filter shows archived positions. You can always find them.

  • The position itself and all its candidate data are preserved. Archiving is a view-level action, not a deletion.

  • Duplicating is disabled while a position is archived. Unarchive first if you want to duplicate it.


How to reopen or unarchive

Closing and archiving are both reversible.


  • Reopen a closed position. Open the position, go to Settings, click Reopen. The position starts accepting candidates again.

  • Unarchive an archived position. From the Archived filter, click the three-dot menu and select Unarchive. The position moves back into the default view. If it's still closed, reopen it separately.


A closed-and-archived position must be unarchived before it can be reopened.


Who can close or archive

  • Close. Job Owner, Admin, or Owner.

  • Archive / Unarchive. Job Owner, Admin, or Owner. Members and Collaborators can't archive, even on positions they own at the job level.
