Closing a position stops it from accepting new candidates; all the candidate data stays accessible in your dashboard. Archiving goes a step further. It hides the position from your default Positions list too. Both are reversible. Close when you've hired someone or paused the role; archive once it's been closed for a while and you want your Positions list cleaner.
How to close a position
To close a position, open the three-dot menu on its row in the Positions list and click Close Job. The share link stops accepting new candidates immediately.
In the sidebar, open Positions.
Click the three-dot menu on the position's row.
Click Close Job.
Answer Did you hire for this position?
- Yes — select the hired candidate from the dropdown, then click Continue. - No — pick a reason: Position filled, Position no longer needed, Role changed significantly, or Other. Reason is for your records; candidates don't see it. Choosing Position filled also asks how it was filled (from applicants, hired externally, or an internal transfer); choosing Other asks you to specify. Click Continue.
On the confirmation screen, optionally check Archive this job to archive in the same step.
Click Close Job to confirm.
After closing:
The share link stops accepting new candidates.
All candidate data stays in the dashboard. You can still review candidates, change statuses, leave notes, and make decisions.
You can reopen the position any time (see below).
How to archive a closed position
Archiving hides a closed position from your default Positions list. Useful if your list is getting cluttered.
From the Positions list, open the Archived filter to check the closed position isn't already archived.
Click the three-dot menu on a closed position's row.
Select Archive.
After archiving:
The position no longer appears in your default Positions view. It's excluded from counts on the Positions page.
The Archived filter shows archived positions. You can always find them.
The position itself and all its candidate data are preserved. Archiving is a view-level action, not a deletion.
Duplicating is disabled while a position is archived. Unarchive first if you want to duplicate it.
How to reopen or unarchive
Closing and archiving are both reversible.
Reopen a closed position. Open the position from the Positions list and click Reopen position. The position starts accepting candidates again.
Unarchive an archived position. From the Archived filter, click the three-dot menu and select Unarchive. A checkbox lets you reopen it in the same step; leave it unchecked to restore it to Closed status instead.
A closed-and-archived position must be unarchived before it can be reopened.
Who can close or archive
Close. The position's owner, or an organization Admin or Owner.
Archive / Unarchive. The position's owner, or an organization Admin or Owner. A Viewer or Job manager on the position can't archive it.
Other ways a position can stop accepting candidates
Closing and archiving aren't the only states a position can be in:
Deleting a position removes it and its candidate data permanently. It's only available for draft, closed, or archived positions, and it can't be undone. See How do I delete a position?.
