You can customize the emails Truffle sends to candidates for each position. Edit the message body, add personalized details with merge tags, and set your own sender name and title.

You can customize the emails Truffle sends to candidates for each position. Edit the message body, add personalized details with merge tags, and set your own sender name and title.

This feature is available on paid plans.


What you can customize

Truffle sends four types of candidate emails. You can customize each one independently:

  • Invitation — sent when you invite a candidate to interview

  • 24-hour reminder — sent if a candidate starts but doesn't finish within 24 hours

  • 72-hour reminder — sent 72 hours after starting if still incomplete

  • Completion confirmation — sent after a candidate finishes their interview

For each email type, you can edit:

  • Email body — the main message content (up to 2,000 characters)

  • Sender name — the name that appears in the email signature

  • Sender title — the title that appears below the sender name

  • Reply-to email — where candidate replies go

If you leave the email body empty, Truffle uses its default template for that email type.


How to customize emails

  1. Open the position you want to customize.

  2. Click the Candidate emails card.

  3. Click Edit emails.

  4. Select the email type you want to edit (Invitation, 24h Reminder, 72h Reminder, or Completion).

  5. Write your message in the email body field.

  6. Add merge tags to personalize the content (see below).

  7. Check the live preview on the right to see how your email will look.

  8. Fill in your sender details at the bottom.

  9. Click Save changes.


Merge tags

Merge tags insert candidate and position details automatically. Click Insert merge tag or type the tag directly.

Tips

  • Keep it short. Candidates skim emails. A few sentences with the key details (role, what to expect, how long it takes) is enough.

  • Use merge tags for personalization. {candidate_first_name} and {position_title} make templated emails feel personal.

  • Check the preview. The live preview shows exactly what candidates will receive, with sample data filled in.

  • One set per position. Email templates are configured per position, so you can tailor messaging for different roles.


What candidates see

All candidate emails now show your company name as the sender (in the "From" field) instead of "The Truffle Team." This applies to both customized and default emails.
