How to close an interview in Truffle

Once you've found the right candidate or decided to pause hiring, it's time to close your interview. This guide walks you through closing an interview properly, ensuring your data stays organized and your candidates get appropriate updates.

When to close an interview

Close your interview when:

  • You've hired someone for the position.

  • The role is no longer needed.

  • The position requirements have changed significantly.

  • You're restructuring and eliminating the role.

Keep it active when:

  • You're temporarily pausing recruitment.

  • You're waiting for budget approval.

  • You need to review current candidates before proceeding.


Steps to close an interview

  1. Find the interview you want to close.

  2. Click the three dots menu on the right side of the interview row.

  3. Select Close Job.

Choose your closing reason

1. Select whether you hired someone for this position:

  1. Yes if you filled the role.

  2. No if closing for other reasons.

2. If you selected No, choose the main reason for closing:

  • Position filled - You found the right candidate.

  • Position no longer needed - The role was eliminated.

  • Role changed significantly - Requirements changed substantially.

  • Other - Any other reason.

3. If you filled the position, specify how:

  • Hired from applicants - Selected a Truffle candidate.

  • Hired externally - Found someone outside your pipeline.

  • Internal transfer - Promoted or moved an existing employee.

Confirm and archive

  1. Review what will happen when you close the interview:

    1. The position gets marked as filled.

    2. The selected candidate's status updates to hired.

  2. The job closes to new applications.

Optional: Check Archive this job to move it to your archives. Archived jobs won't appear in your main list but remain accessible for reporting.


What happens after closing

When you close an interview:

  • The share link immediately stops accepting new candidates.

  • Current candidates can no longer access the interview.

  • All candidate data remains in your account for future reference.

  • Completed interviews stay viewable in your dashboard.

  • Reports include closed interview data unless filtered out.

Note: Closing an interview doesn't delete any data. All candidate submissions remain accessible.


View closed interviews

  1. Click the Status filter.

  2. Select Closed to see only closed positions.


Best practices

  • Close promptly: Close interviews as soon as you make a hiring decision to stop new applications.

  • Communicate with candidates: Before closing, ensure all active candidates receive appropriate updates.

  • Document your decision: Use the closing reason to maintain accurate hiring records.

  • Archive completed searches: Keep your active list clean by archiving filled positions.

  • Export data first: If you need candidate data for reports, export it before archiving.
